Double bookings rarely come from one big mistake. They come from small gaps: a teacher who takes a student on their phone, a paper book at the front desk, a Google Calendar nobody else can see, a family who grabs a time that was promised to someone else. Each one is small. Together they cost you awkward phone calls, and sometimes a student.
The fix is the same in any music school scheduling software: one schedule everyone works from, real hours for every teacher, and rules that protect your weekly students. Here's how we set it up in BookMyLesson.
Put every teacher on one calendar
If each teacher keeps their own schedule, nobody sees the whole week. Start with one calendar that holds every lesson for every teacher.
In BookMyLesson that's the dashboard calendar. The Instructors menu lets you show one teacher, a few, or everyone, each in their own color. Day view gives each teacher a column side by side, so you can read a whole afternoon at a glance.

Give every teacher their real hours
The booking app should only offer times a teacher will actually teach. Give each teacher their own weekly availability, or let them use the studio hours. Families can only book inside those hours, and only times that are free.
When a family doesn't mind who teaches, they can pick Best Available and BookMyLesson matches them with an instructor. That keeps new students flowing to teachers with room, instead of everyone asking for the same person.
Let Google Calendar block time, not run the schedule
Most teachers already live in Google Calendar, and they should keep it. The trick is deciding which side is in charge.
In BookMyLesson, each instructor connects their own Google calendar. Their lessons show up there, and their own events block those times on the booking app, so a gig or a dentist appointment never becomes a lesson. If a teacher moves a lesson in Google, it moves in BookMyLesson too.
BookMyLesson stays the source of truth. If someone deletes a lesson's event in Google, the lesson isn't cancelled in BookMyLesson, and BookMyLesson never creates a duplicate on either side.
Use rooms if teachers share space
If two teachers share a drum room, a calendar that only knows about teachers will happily book both of them into it at 4:00. Rooms fix that.
In BookMyLesson each instructor has one default room, and every lesson happens in its instructor's room automatically. Two instructors can never be booked in the same room at the same time. If your teachers each have their own space, skip rooms entirely. They only help when space is shared.
Protect your weekly students
Most double bookings in a music school aren't two new families. They're a new family landing on a weekly student's time, the one week that student is away.
BookMyLesson treats a weekly spot as held. A Monthly Tuition or Lesson Package student keeps their day and time every week while their schedule is live. If they cancel one week, that time opens for a Single Lesson or Trial that week only, never for someone else's weekly schedule. When a student is paused or made inactive, their weekly time opens up for others.
When you move lessons yourself
Owners need to be able to move anything. Sometimes you swap two students, and for a minute two lessons sit in the same time. A tool that refuses that just makes you work around it.
So BookMyLesson lets you drag a lesson anywhere and gives you a heads-up when that teacher or room already has a lesson then. Same-teacher overlaps show in red on the calendar, so you don't leave one there by accident. A few things are refused outright: the same student in two lessons at once, and a lesson on a teacher's Blocked Time or Google busy time.
When you move a weekly lesson, BookMyLesson asks one question: This Lesson | All Recurring. This Lesson moves just that week. All Recurring moves every future week from that one on.
Decide who can change the schedule
More hands on the schedule means more chances for a double. Decide who does what:
- Instructors can have their own login and see their own students and calendar. With rooms set up, they can see when another teacher has their room, without seeing that family's details.
- Front Desk logins run the day for the whole studio: bookings, moves, students and payments, without your owner settings.
- You keep the studio settings, Instructor Pay and Analytics.
Instructor Access switches let you decide whether teachers can see student contact info and edit student details. The Basic plan covers up to 5 instructors, and Premium has no limit. Compare the plans.
A five-minute weekly check
Even with good rules, take five minutes at the start of the week:
- Open Day view with every instructor showing and look for red.
- Check the Scheduling section of the Studio Inbox for double bookings and calendar conflicts.
- Look at next week for any teacher with time off that isn't blocked yet.
- Glance at the waitlist for families who could fill an opening.
A schedule that stays right also starts with booking that only offers real times. If you haven't set that up yet, start with how to set up online booking for your music school, or see how BookMyLesson works from first booking to next week's lesson.
