If you run a music school, you know the routine. A parent emails about guitar lessons. You reply with three times. They answer two days later, and one of those times is gone. Meanwhile a teacher said yes to someone on their phone and forgot to tell you.
Online booking fixes most of that. A family picks a real open time, books it, and gets a confirmation. You find the lesson already on your calendar. This guide walks through setting it up the way a studio with several teachers needs it. The examples use BookMyLesson, because that's what we built for this, but the decisions are the same in any music lesson booking software.
Decide three things before you touch any software
Most of the work is deciding, not clicking. Write these down first:
- What families can book. Your lesson types, lengths and prices.
- Who teaches what, and when. Each teacher's instruments and the hours they actually want to teach.
- How you get paid. By card when they book, or the way you collect today.
If you can answer those on one page, the setup itself takes an afternoon.
Step 1: Set up the lessons families can book
In BookMyLesson every lesson offer is one of three types:
- Monthly Tuition is a weekly spot, billed monthly. It's how most studios run their regular students.
- Lesson Package is a set number of lessons, paid up front.
- Single Lesson is pay per lesson. It's good for drop-ins and families who aren't ready to commit.
Each offer can come in 30, 45 or 60 minute lengths, each with its own price. A Trial offer can be free: set its price to 0 and families book it with no payment step.
Keep the list short. Three or four offers is plenty for most studios. A parent choosing between nine options usually closes the tab.
Step 2: Make your teachers' hours real
This is where most booking setups go wrong. If the hours you publish aren't the hours your teachers will actually teach, you'll spend your week moving lessons around.
Give each teacher their own weekly availability, or let them use the studio hours. Families only see open times inside those hours. Then set the booking rules that protect your week:
- Minimum Notice, so nobody books a lesson that starts in 20 minutes.
- Book Ahead of 30, 60 or 90 days, so the calendar doesn't fill a season out.
- Buffer Between Lessons, if teachers need a few minutes between students.
- Studio Closures, for holidays and breaks families shouldn't book.
If your teachers live in Google Calendar, connect it. Each teacher's Google busy time blocks those hours on the booking app, so a dentist appointment never turns into a lesson.

Step 3: Choose how you get paid
One switch decides who takes the money: Collect Payment Online.
- On: families pay by card while they book, through your own Stripe account. The lesson is created only after the payment goes through.
- Off: families book, and you collect the way you do now, whether that's cash, check or Venmo. Invoices still show what's owed, with your own "How to Pay Us" details instead of a card button.
Either way, you can mark any lesson paid with one click. BookMyLesson never takes a cut of your lessons. Stripe's standard card fee applies only when families pay by card.
Step 4: Put booking where families already look
Families find you on your website, on Google and on Instagram. Put booking in all three places.
- Your website. Paste one line of embed code on Wix, Squarespace, WordPress, GoDaddy or Webflow. When you publish a change, every embed updates on its own.
- A direct link. Your studio gets its own address, like bookmylesson.app/your-studio, for your Google profile, your Instagram bio and your flyers.
- No website? On Premium you can build a hosted Booking Page with your own photos and the booking app built in.
Step 5: Book a lesson yourself before you share it
Use your own email and book through your own link, the way a parent would. You'll see the confirmation email and the new booking alert. You'll also catch the things that look fine in setup but feel wrong as a parent: a missing teacher, an odd price, an hour nobody teaches.
New studios start with family notifications off, so you can test without emailing anyone. Turn them on from the last step of the setup guide when you're ready.
What families see when they book

The booking app walks a family through a few short steps:
- Pick an instrument.
- Pick a teacher, or Best Available.
- Pick a lesson and its length.
- Pick a date and an open time.
- Enter their details.
- Pay, if you collect online.
Then they get a confirmation, and weekly lessons repeat on their own. Families don't need an account or an app. Later they sign in to Manage My Lessons with a six-digit code sent to their email, where they can see their lessons and, inside your rules, reschedule or cancel.
If no time fits, they can join your waitlist instead of leaving. The Smart Waitlist is part of Premium.
Mistakes we see studios make
- Publishing hours nobody teaches. Every open time is a promise.
- Too many choices. Fewer offers with clear names book better.
- Forgetting to publish. Changes in the builder stay a draft until you press Publish.
- Hiding the link. If booking is three clicks deep on your site, families won't find it. Put it on your home page.
Once booking is running, the next question is usually keeping several teachers' schedules straight. That's the next guide: how to schedule several teachers without double bookings. You can also see every feature or compare plans.
